As a Vendor & Venue Sourcing Specialist, you will proactively discover new venues and vendors, build strong relationships, and unlock reliable partners for impactful activations. In this role, you will play a critical supporting function for our planning and project teams by sourcing venues and vendors, securing preliminary information, and maintaining a high-quality database that enables accurate project planning, budgeting, and execution.

🌟 What You’ll Do
  • Vendor & Venue Discovery: Proactively identify, research, and approach new venues, hangout spaces, sports locations, landlords, and production or technical vendors that fit various activation needs.
  • Relationship Building & Negotiation: Build and maintain professional relationships with key contacts, gather preliminary rate cards, availability, technical specs, and negotiate early-stage terms.
  • Database & Information Management: Input, update, and maintain accurate vendor and venue information in the company database or CRM to support project estimates, timelines, and budgeting.
  • Sourcing Support & Insights: Categorize vendors based on capability, quality, and suitability, provide structured updates to internal teams, and support sourcing decisions with clear comparisons and insights.
✅ What We’re Looking For
  • 1–3 years of experience in proactive outreach, research, sourcing, or relationship management (experience in venue booking or vendor procurement is a plus)
  • Strong understanding of different venue types (e.g. retail pop-ups, warehouses, outdoor lots, mall atriums) and key operational considerations such as access, permits, power, and logistics
  • Comfortable using CRM or database tools to accurately track contacts, outreach activities, pricing, and technical specifications
    Strong research, communication, and relationship-building skills, with confidence in approaching new contacts and identifying decision-makers
  • Existing networks across venues, hangout locations, or production vendors
  • Highly organized and detail-oriented, with the ability to manage high volumes of outreach and follow-ups independently
  • Able to compare vendor rates, offerings, and commercial terms to support informed planning and decision-making
  • Exposure to mapping tools, basic finance or tax processes, social media sourcing, or creative venue discovery is a plus
  • Curious, persistent, and proactive with a strong “hunter” mindset and excellent follow-through habits
  • Comfortable working independently while clearly communicating updates and findings to internal teams
  • Holds a valid driver’s license and is willing to conduct local site visits and venue scouting
